Uku — the studio brain

Uku

Uku is the one who holds the whole picture. Every morning Uku looks at the state of the company — pipeline, cash, active projects, risks, what changed since yesterday — and gives you a short board report: what's healthy, what to worry about, and the few things worth your attention today. Uku doesn't do the hands-on work; Uku coordinates and briefs. When you want to ask "how are we doing this month?", Uku is who answers.

Think of Uku as your chief of staff: always aware, never in the weeds, and the first voice you hear each day.

Kairi — client intake & relationships

Kairi

Kairi lives in your inbox and owns the top of the funnel. When a message comes in, Kairi decides whether it's a real opportunity, creates a lead, qualifies it, and drafts your reply — a warm clarifying question, or a full proposal, depending on what's needed. Kairi keeps the sales pipeline moving: following up on quiet leads, keeping records current, making sure no opportunity goes cold. Kairi never sends anything on its own — every email is a draft for you to approve.

Madis — the project manager

Madis

When a deal is won, it stops being a "relationship" and becomes delivery work — and that's Madis's world. Madis scopes the project, sets a budget and a plan, breaks it into tasks, chases the missing pieces, keeps the project record current, writes the project emails, and reports progress. If a project needs money questions answered, Madis asks Liisa; if it needs research, Madis asks Ralf; if it needs you to decide something, Madis brings it to you.

Liisa — finance

Liisa

Liisa handles the money side: drafting and sending invoices, tracking what's owed, and answering finance questions for the rest of the team. When Madis says "this milestone is done, bill it," Liisa prepares the invoice — and, like everything else, posting and sending it waits for your approval.

Liisa makes sure the work turns into paid work.

Marta — workshops & retreats

Marta

For businesses that run events, Marta owns the guest side: proposing dates, handling guest communication, preparing pre-event packs, and managing the logistics of a workshop or a retreat. When a lead is really about an event rather than a delivery project, Kairi hands it straight to Marta.

Ralf — research

Ralf

Ralf is your researcher and analyst. When someone on the team needs to understand a market, a competitor, a technology, or a public tender, they ask Ralf, who goes and reads, then comes back with a clear, sourced answer. Ralf can also watch external feeds — like public procurement listings — and flag the ones worth pursuing.

Piret — people & staffing

Piret

Piret keeps an eye on the team itself: who's working when, who's away, whether upcoming work is staffed, and whether the month's payroll inputs are ready. Piret reads from your staffing system so the rest of Studio OS knows about the humans in the company, not just the work.


How they work together

The most important thing about your AI team isn't any single agent — it's that they hand work to each other cleanly, so nothing is dropped and nothing is done twice.

  • Every incoming message is read once and routed to exactly the right specialist — sales mail to Kairi, project mail to Madis — so no one double-handles it.
  • When a specialist hits the edge of its lane, it hands off rather than guessing: Kairi → Madis when a deal is won, Kairi → Marta when it's really an event, Madis → Ralf when a project needs research. Each hand-off carries the full context, so the next specialist picks up exactly where the last one left off.
  • And above all of them, Uku keeps the whole picture, so you don't have to hold it in your head.
